Configuring Minimum Time Entry Intervals in Dynamics 365 Project Operations
Accurate time reporting is foundational to billing accuracy, utilization metrics and overall project profitability. However, when time logging is unconstrained, consultants and team members often record irregular durations - such as 7, 23 or 41 minutes. This creates noisy billing records, complicates customer invoice reviews and deviates from enterprise billing policies.
To resolve this challenge, Microsoft offers standard governance controls via Time Entry Configurations in Dynamics 365 Project Operations. Administrators can enforce allowable minimum increments for time durations, automatically rounding time entries to compliant billing intervals.
Per official Microsoft Learn documentation, these time entry configuration parameters apply to:
- Project Operations Integrated with ERP
- Project Operations Core (Lite / Non-ERP deployment)
Understanding the Minimum Interval Rule
By default, Dynamics 365 Project Operations permits time entries in single-minute increments (multiples of 1 minute). In professional services organizations, billing is usually standardized into 6-minute (0.1 hr), 15-minute (0.25 hr) or 30-minute (0.5 hr) blocks.
Administrators can configure the Min Interval (In Minutes) parameter with any integer value between 1 and 60.
When a minimum interval is active, any entered duration that is not an exact multiple of the configured interval is automatically rounded up to the nearest higher multiple.
If the administrator sets Min Interval (In Minutes) = 15:
- Valid durations must fall on exact 15-minute multiples (e.g., 15 min, 30 min, 45 min, 1h 15m).
- If a user enters 7 minutes, the system automatically rounds the entry up to 15 minutes.
- If a user logs 32 minutes, the duration automatically adjusts up to 45 minutes.
How the Validation Flow Works
The validation and rounding mechanism happens during time entry creation or modification, ensuring consistent data upstream before submissions and approval routing occur.
Step-by-Step Configuration Guide
System administrators can apply this setting directly through the standard Project Operations navigation:
Sign in to Dynamics 365 Project Operations as a System Administrator. In the bottom-left area switcher, change the sitemap area from Projects to Settings.
Under the General section, select Parameters. Double-click the relevant Organization Units record row (click outside the link text).
Scroll down to the Time Entry Configuration section. Locate the field labeled Min Interval (In Minutes) and enter your preferred integer between 1 and 60 (e.g., 15).
Save the record. The rule takes immediate effect across the time entry interface for all users submitting time against that configuration.
Related Time Entry Governance Controls
The Min Interval (In Minutes) setting is part of a broader set of controls in the Time Entry Configuration section:
Prevents accidental over-allocation by capping total daily hours. The default is 24 hours (1,440 minutes), but administrators can restrict this to any value between 0 and 1,440 minutes to reflect standard labor limits.
Allows organizations to switch the time entry grid from time zone aware to Time Zone Independent, preventing date-shifting discrepancies when managers and delegates review timesheets across different geographical zones.
When enabled, team members can view Outlook meetings on the Time Entry Calendar and use those meetings to create time entries. This configuration is available only when the Time Entry Calendar feature is enabled, and it is off by default.
Use Outlook Meetings as a Time Entry Source
Microsoft also provides an option to use Outlook meetings as a source for creating time entries from the Time Entry Calendar. This is particularly useful when project team members regularly spend time in customer or internal meetings and want to use their calendar activities as a starting point for time recording.
In the same Time Entry Configuration section, enable Use Outlook meetings as a time entry source and select Save. Microsoft states that this option is available only in environments where the Time Entry Calendar feature is enabled. The option is off by default.
- Open My Work > Calendar in Project Operations.
- Turn on the Show Meetings toggle on the Time Entry Calendar.
- The calendar refreshes and displays the Outlook meetings for the selected week.
- Double-click the meeting that you want to log time against.
- Complete the time entry details, such as Project and Task, and adjust the Start or End time if required.
- Select Save to create the time entry.
Outlook meetings are a source for creating time entries; Project Operations does not automatically convert every Outlook meeting into a time entry.
There are also some important considerations. Microsoft notes that the Show Meetings toggle is off by default, persists only when the calendar is refreshed using the refresh icon, and doesn't persist when you leave the Time Entry Calendar or refresh the browser tab. Bulk creation of time entries from Outlook events is currently not supported.
Architecture & Business Impact
Standardizing time entry intervals at the platform level yields several architectural and operational advantages:
- Native Time-Entry Governance: The minimum interval can be configured through the standard Time Entry Configuration instead of implementing the interval rule solely through custom validation.
- More Consistent Time Data: Enforcing a common duration increment helps organizations align time entries with their time-tracking and billing policies.
- Reduced Manual Correction: When a duration isn't an exact multiple of the configured interval, Project Operations automatically rounds it to the nearest higher multiple.
Configuring interval policies natively eliminates custom plugin overhead and ensures that billable time tracking aligns with enterprise billing models.
Final Thoughts
Configuring the minimum interval for time entry durations is a small administrative step that yields significant downstream improvements in project governance. Whether your business bills in 6, 15 or 30-minute increments, setting Min Interval (In Minutes) helps keep time data aligned with your organization's time-tracking policy. Combined with the Time Entry Calendar and the option to use Outlook meetings as a time entry source, Project Operations provides a more connected experience for capturing project time.
Enforce compliance at the source: automate duration rounding to protect billing consistency and reduce administrative review overhead.
